Terms of Service
These Terms of Service govern access to and use of SorrelSites — the membership management platform and website services we provide through joinsorrel.com, sorrelsites.com, and organization custom domains.
1. Agreement to these Terms
By creating a SorrelSites account, signing in, or using the service, you agree to these Terms and to our Privacy Policy. If you accept on behalf of an organization, you represent that you are at least 18 years old and authorized to bind that organization; “you” and “your organization” then refer to that organization and every person it authorizes to use SorrelSites.
2. The service
SorrelSites is a software platform that helps membership organizations run their operations: a membership database with custom fields and auto-renewing dues, events and registration, communications (email, and where enabled, text messages and push notifications), document storage, governance tools, a member portal, and an AI-assisted website builder that publishes each organization's public site at its SorrelSites address ({your-name}.sorrelsites.com) or its own custom domain. We improve SorrelSites continuously and may add, change, or retire features; if a change materially reduces core functionality you have paid for, we will give you reasonable advance notice.
The public websites and member-facing pages hosted on SorrelSites are operated by the organizations that publish them. Each organization — not SorrelSites — is responsible for its site's content and for its relationship with its members.
3. Your account and security
You must provide accurate account information and keep your credentials confidential. You are responsible for activity under your account. SorrelSites provides security features including two-step verification (authenticator apps and email codes), passkeys, and sign-in with Google; we encourage you to enable them. Notify us promptly at support@joinsorrel.com if you suspect unauthorized access.
4. Your organization's content and member data
Your members, your content, and your data belong to your organization. You grant SorrelSites a limited license to host, store, process, transmit, and display them solely to provide and support the service. We process your members' personal information on your organization's behalf and at its direction, as described in our Privacy Policy.
You decide what information to collect from your members — including any custom fields your organization defines — and you are responsible for having a lawful basis to collect it, for its accuracy, and for honoring your members' privacy choices. SorrelSites' export and reporting tools let you download your data (member lists, registrations, financial records, documents) throughout your subscription and during any wind-down period after cancellation.
5. Your responsibilities to your members
- Send communications only to people you have the right to contact. SorrelSites automatically appends unsubscribe links to broadcast emails and enforces per-member opt-in (with a recorded consent timestamp) before any text message is sent; you agree not to circumvent these protections.
- Publish member information (for example, a member directory) only as permitted by your members. SorrelSites provides per-field visibility controls and a member self-service opt-out; you agree to respect them.
- Comply with the laws that apply to your organization's communications and fundraising, including anti-spam laws (such as CAN-SPAM) and telephone-consent laws (such as the TCPA).
6. Acceptable use
You agree not to misuse SorrelSites. In particular, you will not:
- use the service for anything unlawful, deceptive, or fraudulent, including phishing, malware distribution, or misrepresenting who you are;
- send spam or unsolicited bulk communications through the platform;
- publish content that infringes others' intellectual property or privacy rights, or that harasses or threatens any person;
- attempt to breach, probe, or circumvent SorrelSites' security, access another organization's data, or interfere with the service's operation;
- resell or white-label the service without our written agreement.
Report abuse or claimed infringement on any SorrelSites-hosted site to support@joinsorrel.com.
7. Suspension for abuse
If we determine that an organization's site or account is being used for phishing, spam, or another serious violation of these Terms, or if we receive a valid legal takedown demand, we may suspend the organization's sites and service immediately. Visitors see a generic unavailable message; we notify the organization's owner by email with the reason, and suspension can be appealed at support@joinsorrel.com. Suspension preserves your data — it does not delete anything — and we lift it promptly if the issue is resolved.
8. AI features
SorrelSites includes AI assistance for drafting website content, email templates, and configuration. AI output is always saved as a draft: nothing an AI feature produces is published to your members or the public until a person in your organization reviews it and explicitly publishes it. AI-generated content can be inaccurate; you are responsible for reviewing it before you rely on it or publish it, and your organization is the publisher of record for everything on its site. AI features have usage allowances that vary by plan, shown in your admin console. Our Privacy Policy describes the strict limits on what data AI features can access — member contact details are never sent to AI models.
9. Payments you collect from your members
Member dues and event payments are processed through Stripe. Your organization connects its own Stripe account, is the merchant of record for its members' payments, and receives those funds directly; your use of Stripe is governed by Stripe's own agreements, including the Stripe Connected Account Agreement. Stripe's payment processing fees are set by Stripe. Your organization is responsible for refunds, disputes, and any taxes on the payments it collects. Card details are entered on Stripe's secure surfaces — SorrelSites never sees or stores card numbers.
10. Plans, free trial, and billing
- Plans and current prices are listed at joinsorrel.com/pricing. Plans are available month-to-month or annually; annual plans are discounted as shown on the pricing page.
- New organizations receive a 30-day free trial with full functionality. No credit card is required to start a trial.
- You can subscribe to a paid plan at any time. Starting a paid subscription ends the trial and begins billing at that point; remaining trial days are not credited.
- If your trial ends without a subscription, your account becomes read-only: you can still sign in, view, and export your data, and subscribe to restore full service. Accounts that remain unsubscribed are eventually closed as described in Section 11.
- Subscription fees are billed in advance through Stripe and are non-refundable except where required by law. Applicable taxes may be added.
- Some features carry usage allowances that vary by plan (for example, AI assistance and text messaging); allowances and any overage terms are shown on the pricing page and in your admin console.
- We may change prices with at least 30 days' notice; changes take effect at your next renewal.
11. Cancellation and account closure
Your organization's owner can cancel from billing settings at any time. For paid subscriptions, service continues through the end of the period you have paid for; we do not issue refunds for unused time. After a paid subscription ends, your account enters a wind-down totaling 90 days: it becomes read-only so you can export your data, and you can reactivate with one click at any point during the window. Cancelled trials follow a shorter 30-day wind-down. When the wind-down ends, the account is closed, your sites are taken offline, your SorrelSites address is released, and your data is scheduled for deletion as described in our Privacy Policy. An owner can also request immediate deletion from billing settings, which skips the wind-down after identity re-verification. We may retain records we are legally required to keep (for example, financial records).
12. Optional third-party connections
SorrelSites lets individual users and organizations connect third-party accounts — for example Google, Zoom, or Microsoft for meeting links, or Stripe for payments. Each connection is optional, is governed by that provider's own terms, and can be disconnected at any time; stored credentials for these connections are encrypted, and disconnecting deletes them. SorrelSites is not responsible for third-party services.
13. Intellectual property
SorrelSites and its software, design, and branding belong to SorrelSites and its licensors; these Terms grant you a limited, non-exclusive, non-transferable right to use the service during your subscription. Your organization retains all rights to its own content and data. If you send us feedback or suggestions, we may use them without obligation to you.
14. Disclaimers
SorrelSites is provided “as is” and “as available.” To the fullest extent permitted by law, we disclaim all warranties, express or implied, including merchantability, fitness for a particular purpose, and non-infringement. We do not warrant that the service will be uninterrupted, error-free, or secure, and we do not make uptime guarantees.
15. Limitation of liability
To the fullest extent permitted by law: (a) neither party is liable for indirect, incidental, special, consequential, or punitive damages, or for lost profits, revenue, or data; and (b) SorrelSites' total liability arising out of or relating to the service is limited to the amounts your organization paid to SorrelSites in the 12 months before the event giving rise to the claim (or 100 US dollars if you have paid nothing). These limits do not apply where they cannot lawfully be applied.
16. Indemnification
Your organization will defend and indemnify SorrelSites against third-party claims arising from your organization's content, its collection and use of its members' data, its sites and communications, or its violation of these Terms or applicable law.
17. Changes to these Terms
We may update these Terms from time to time. For material changes we will give at least 30 days' notice by email or in the admin console before the changes take effect. Continued use of the service after the effective date constitutes acceptance. The “Last updated” date below reflects the current version.
18. Governing law
These Terms are governed by the laws of the State of Connecticut, without regard to conflict-of-laws rules, and disputes will be resolved in the state or federal courts located in Connecticut. Before filing any claim, both parties agree to try in good faith to resolve the dispute informally by contacting the other party.
