When is the right time of year to switch membership software?
Count backwards from your renewal season. Most organizations have one heavy renewal month — often January — and the move should be settled well before it: list and website moved in a quiet month, members invited with runway to spare, renewals landing in the new home on their normal dates. For a January-renewal organization, autumn is the window.

The calendar matters more than the software. A move made in a quiet month is a small project; the same move attempted during renewal season is a stressful one. So the question isn't "when is a good time?" in the abstract — it's "when does our renewal season start, and how much runway do we want before it?"
A timeline that works
- Three months before your heavy renewal month: decide. Export your member list, look at your options, and pick.
- Two to three months before: move the list and the website. Your old system keeps collecting dues while you review the new home — nothing interrupts members.
- One to two months before: invite members in. Each one saves their card once, unhurried, at their own pace.
- Renewal season: renewals land in the new home on their normal dates. If the runway was real, this month is boring — which is the goal.
If your renewals are spread across the year instead of clustered, the calendar is kinder: pick any quiet stretch and let each membership roll over in the new home as its date arrives.
The one timing mistake that hurts: deciding during renewal season, under pressure, with no runway. If that's this year, it is usually better to run one more renewal where you are and move the week after it peaks — the quietest week your organization has.
