## How do we switch membership software without losing our auto-renewing dues?

This is the fear that keeps most organizations on software they've outgrown, so let's say the true thing first: your members' saved cards are held by the payment company behind your current software, and no new tool — ours included — can reach in and carry them across. Anyone who tells you saved cards simply "come with you" is glossing over how card payments work.

### What actually happens to renewals in a move

Each member saves their card again, once, in the new home — a couple of minutes, usually at the moment they'd naturally interact anyway: a renewal notice, a sign-in, an event sign-up. From then on their dues renew automatically like before. A good move is calendar work, not technical work: knowing when each membership renews, and making sure every member gets that one small moment before their date comes up.

### How to time it

- Find your renewal shape. Many organizations have one big month — often January. The months before it are your window.
- Move the member list and website first, while dues keep running on the old system. Nothing about moving your list interrupts anyone's membership.
- Invite members to the new home with enough runway that saving a card is unhurried, not an emergency.
- Let each renewal happen in the new home on its normal date. No member should ever feel a gap.

When you move to SorrelSites, this calendar is the plan we build with you: Sprout brings your member list across with each member's renewal date on it, and renewal notices go out on schedule from day one — so the one thing each member does is save a card, and the one thing that doesn't happen is a renewal falling through the cracks because the move lost track of it.

The test for any vendor, us included: ask them exactly what happens to a member whose renewal lands two weeks after the move. If the answer is vague, the plan is too.
